In accordance with the guidelines of the International Maritime Organization (IMO) and the global trend towards electronicization, JG has established an environment for the electronic issuance of maritime-related certificate etc.
As of 13th February, 2023, the electronic issuance of these documents has commenced.
Please note that electronic certificate etc. and paper certificate etc. cannot be used concurrently; you must choose one or the other. For details on electronic certificate etc. and a list of certificate etc. currently available for electronic issuance, please refer to JG’s administrative communication dated 10th February, 2023. While it is still possible to receive paper certificate etc., please be aware that you cannot receive both electronic and paper versions of the same certificate etc.
At Kurosawa Maritime Consulting Office supports certificate etc. electronicization procedures, which reduce the amount of work involved in issuing and rewriting certificate etc., reducing costs such as postage costs, and reducing the time it takes to receive documents on the same day.
We have compiled an example of the electronicization procedure for certificate etc. whose steps have been confirmed below. *Please note that the procedure may vary by the regional JG. If you have any questions or concerns about individual procedures, please do not hesitate to contact us.
◇ Electronicization Procedure for Ship Inspection Certificate and Ship Inspection Memorandums (Ship Safety Law) accompanying the application for renewal
◆ Step 1: Until the electronic certificate and electronic memorandums are installed on board the ship, please keep the following documents on board the ship.
<Documents to be kept>
1.Original of Ship Inspection Certificate
2.Copy or PDF of Ship Inspection Memorandums (all pages including front and back of file case)
◆ Step 2: Please send the necessary documents including the paper memorandums by mail or email to our office from the shipowner (or the ship).
◆ Step 3: We will send the PDF of the following documents by email to JG from our office in sequence.

4.Ship Inspection Memorandums
◆ Step 4: We will send the originals of the following documents by mail to JG from our office in bulk.

◆ Step 5: The paper memorandums will be invalidated and disposed by JG. *If the shipowner wishes, the invalidated paper memorandums will be returned.
◆ Step 6: The electronic certificate and electronic memorandums will be issued by JG to the email address of our office for delivery. *Please note that one certificate cannot be issued in both electronic and paper formats, so the paper certificate will be invalidated when the electronic certificate is issued.
◆ Step 7: We will send the electronic certificate and electronic memorandums by email to the email address of the shipowner’s choice.
◆ Step 8: After the electronic certificate and electronic memorandums are installed on board the ship, the shipowner (or the ship) will return the invalidated paper certificate to JG.
